Remitra Health

For LPCs, LCSWs, LMHCs, and other licensed therapists

Therapist billing that follows every session to your bank.

You see the same clients every week, so a billing mistake doesn't happen once. It repeats every session until someone catches it. Remitra follows each session from the claim to the deposit, so you can see what's paid and what's stuck.

  1. SessionMon, 4:00 · 53 min · 90837
  2. Bill sentwhen the note is signed
  3. Insurance said noplan ended Dec 31 · update & resend
  4. In your bank$112.80 — not yet

Illustrative example. Remitra flags the session that got stuck, before the next six are billed the same way.

Does this sound familiar?

A full caseload. A bank account that doesn't show it.

  • “I do my notes and billing at night after back-to-back sessions.”
  • “In January, half my clients' plans changed and I found out from denials.”
  • “I don't want to ask for the copay at the end of a hard session.”

Where the money goes

Where therapy practices lose money.

Weekly sessions mean every problem repeats. Here's where counseling and social work practices most often lose money.

  1. The session length doesn't match the code.

90834 and 90837 are billed by time. If the time in the note doesn't support the code, the claim is denied, and the same mistake goes out every week until someone notices.

    How Remitra shows it

One list of every denied claim with the reason in plain English, so a repeating error gets fixed once instead of every week.

  2. Coverage changes in January.

New year, new plan, new deductible. If insurance was only checked at intake, weeks of sessions can be billed to coverage that ended.

    How Remitra shows it

Insurance is checked before every session, not just the first one, so a change shows up before the appointment.

  3. Copays nobody asks for.

Asking for money at the end of a session feels wrong, so a $25 copay gets skipped. By spring, the client owes hundreds.

    How Remitra shows it

The client's balance is on screen at check-in and can be paid by card in seconds. Statements and payment links go out automatically, so you don't have to ask.

  4. Claims that time out.

Insurers give you a limited window to send and fix claims. Sessions that slip through the cracks during a busy month can pass that deadline.

    How Remitra shows it

Money you're still owed, sorted by how old it is, so the oldest gets handled first.

For whoever does the billing

Therapy billing codes you use most.

The codes behind most counseling and social work claims, and the snag that most often trips each one up.

CodeWhat it meansCommon snag
90791 Diagnostic evaluation, usually the first session. Some insurers limit how often it can be billed for the same client.
90832 · 90834 · 90837 Individual therapy: 16–37, 38–52, or 53+ minutes. The time in the note doesn't support the code, especially 90837.
90846 · 90847 Family therapy without or with the client present. Billed under a family member who isn't the client with the diagnosis.
90839 · 90840 Crisis therapy: the first 60 minutes, then each extra 30 minutes. The note doesn't show why it was a crisis session.
90785 Add-on for interactive complexity, such as when a parent or caregiver in the room makes the session harder to manage. Billed without notes that show what made it complex.

Codes are CPT® codes from the American Medical Association. Insurer rules vary, so check each payer's policy.

Questions

Therapy billing questions.

Does Remitra work for LPCs, LCSWs, and LMHCs?

Yes. Remitra is built for licensed therapists who bill insurance, whatever the license. Claims go out under the clinician who saw the client.

Can counselors bill Medicare now?

Yes. Since January 2024, licensed professional counselors, mental health counselors, and marriage and family therapists can enroll in Medicare and bill for their services. Social workers could already bill Medicare.

Is insurance checked before every session?

Yes. Eligibility is checked before every appointment, not just at intake, so a plan change shows up before the next session is billed.

Do I have to ask clients for their copay?

Remitra shows what the client owes at check-in so it can be paid by card, and sends statements with payment links automatically. You can also have us handle client bills on the Billing plan.
